Here are some simple instructions to
- Get your data into Chandler; and
- Set you up to back up and share with Chandler Hub.

Basic Concepts
- The basic unit of information is The Note
- Starred
- Added to the Calendar as Events
- Addressed and Sent to others via Email
- Notes can be organized into Collections
- A Note can be added to multiple collections via drag and drop or copy and paste. Cut and paste allows you to move notes between collections.
- Collections have 3 views: All, Starred and a Calendar
- Calendars can be color-coded and overlayed
- Each Collection is divided by Triage Status into 3 sections: NOW LATER DONE
- Events are automatically triaged based on when they happen
- Events automatically move into NOW when they start
- You can also set custom Tickler Alarms to automatically move Notes to NOW
- You can back up your data, access it from the web and share collections with others by signing up for a FREE Chandler Hub account.

Get your Data Into Chandler Desktop
Import Tasks and Calendars
- Export your calendar in .ics (iCalendar) format from your current calendar application.
- In Chandler, go to File>>Import .ics calendar to import the calendar.

Subscribe to ICAL (Google, .Mac) Calendars
- Obtain the sharing URL for the calendar you would like to subscribe to.
- In Google Calendar, click on the down arrow next to the calendar you would like to subscribe to.
- Click Calendar Settings in the pulldown
- Scroll to the bottom of the page
- Click on the appropriate green [ICAL] button to obtain the sharing URL
- From Chandler Desktop go to Share>>Subscribe...
- Paste the ICAL sharing URL into the URL: field.
- Click [Subscribe]
- Note Neither webcal nor ICAL support 2-way syncing. You will only be able to view, not edit these calendars in Chandler.
- Once you've gotten the Calendars into Chandler, you can go to Share>>Unsubscribe which will break the connection with .Mac or Google, but allow you to edit the Calendar from Chandler.
Get your Data Out of Chandler Desktop
Export Notes and Events
- In Chandler, go to File>>Export>>Notes and Events to .ics File
- Click [Okay] (The .ics file will be saved to your Desktop.)
- You can import this file into any calendar application that supports the .ics format.
Get instructions for your calendar application.
Sync with Apple iCal, Google Calendar, Lightning...
- Sign up for a Chandler Hub account.
- Configure Chandler Desktop with your new account.
- Publish the collections you'd like to keep in sync to Chandler Hub.
Apple iCal 3.x (Mac OS X 10.5 - Leopard) (View-and-Edit)
- From Apple iCal 3.x, go to the Accounts tab under iCal>>Preferences...
- Fill in your Chandler Hub user name and password.
- Click on Server Settings and enter your Chandler Hub Account URL: https://hub.chandlerproject.org/dav/users/{insert your user name}
- You will get the following message: "Availability is not supported on the server for this account." Just ignore it and close the dialog. In iCal, you will see a Chandler Hub section in the left-hand calendar list. Collections you've created or published to Chandler Hub should show up there.
- Note iCal 3.x will sync all the collections you've published or created on Chandler Hub. (Collections you've subscribed to will _not be synced.)_
- Note Apple iCal will not work if you Chandler Hub username has a space in it.
- Warning Deleting collections from your Chandler Hub account will cause problems in Apple iCal 3.x.
Subscribe with Apple iCal 2.x (Mac OS X 10.4 - Tiger) (View-only)
- Log in to Chandler Hub on the web.
- Click on the down arrow next to the collection you would like to sync.
- Under Subscribe with:, Click on the green [Apple iCal, Google]
- Click on the link provided in the dialog.
- Apple iCal 2.x should automatically launch and subscribe.
- Note Apple iCal 2.x does not support 2-way syncing. You can only view (not edit) your calendar from Apple iCal.
Subscribe with Google Calendar (coming soon in 1.0 release!) (View-only)
- In Chandler Desktop, go to Share>>Invite... and copy either one of the sharing links provided in the dialog (doesn't matter which one.)
- Paste the link into your browser.
- Under Subscribe with:, Click on the green [Apple iCal, Google]
- Copy the link provided in the dialog.
- In Google Calendar, select "*Add by URL*" from the [Add] pulldown.
- Paste the link and click [Add].
- Note Currently Chandler does not support 2-way syncing with Google Calendar.
CalDAV Calendar Application: Lightning, Evolution (View-and-Edit)
- Log in to Chandler Hub on the web.
- Click on the down arrow next to the collection you would like to sync.
- Under Subscribe with:, Click on the blue [CalDAV]
- Use the link you are given to subscribe from your CalDAV calendar application.
Outlook/Exchange?
Currently, this is not supported. Interested in helping us write a connector?
Sync with Mobile Device
Chandler does not support syncing directly with mobile devices. However, you can subscribe to Chandler collections with Apple iCal and Google Calendar via Chandler Hub and use iSync or Google Mobile to access your data from your mobile device. You can also set up notifications via Google Calendar. See more detailed instructions.
Move your Data to Upgrade
Upgrading between versions of Chandler Desktop is automatic. When you run your new version of Chandler, you may be asked whether you would like to [Reload] your existing data or [Delete Your Data] and start fresh.
This is assuming you have been allowing Chandler to automatically export your data to a backup .chex file every time you quit the application. IF NOT Follow the directions below to move your data to upgrade.
From your current version Chandler Desktop
- Go to File>>Export>>Chandler Data to .chex File
- Save the file to your desktop
From your new version Chandler Desktop
- When starting up Chandler for the first time, you will be prompted with a dialog: Select [Reload]
- From the Open File dialog, select the .chex file you exported from your old version of Chandler
- Chandler will reload all of your data and account information as well
Sign up for a Chandler Hub account to Backup and Share
- Share with others
- Back up your data
- To access your data from the web and new Chandler web, desktop, email and IM widgets!
Note: Wait for an email to activate your account.
In Chandler Desktop, go to File>>Accounts... to set up your new account
- Select Chandler Hub Sharing Account from the list of accounts on the left
- Enter your user name and password
- Click [Test...] to make sure the account has been set up correctly
- Click [Okay]
Back up your Data and Access it from Chandler Hub on the Web
- Sign up for a Chandler Hub account.
- Configure Chandler Desktop with your new account.
- Publish the collections you'd like to keep in sync to Chandler Hub.
- Log in to your Chandler Hub account to view your collections on the web
Note: When publishing your collections, be sure to share all attributes (Triage status, Event status, Alarms, etc)
Note: Currently, the Dashboard, In, Out, and Trash collections cannot be published to the server.
Note: To keep subscriptions in sync, you must subscribe to the shared collections twice, once in Chandler Desktop and then again from Chandler Hub.
- To obtain a sharing URL from Chandler Desktop, select a collection and go to the Share>>Invite... menu.
- To obtain a sharing URL from Chandler Hub, click on the down arrow next to a collection and look under [Invite] in the left-hand sidebar.
Receive Email Notifications
- Sign up for a Chandler Hub account.
- Configure Chandler Desktop with your new account.
- Publish the collections you'd like to keep in sync to Chandler Hub.
- Log in to your Chandler Hub account and click on Settings in the upper right-hand corner.
- Select the Notifications tab to set preferences.
Notifications will be sent to the email address you used to sign up for an account.
Share Collections
Share collections with others by sending them a View-only or View-and-Edit sharing URL to the collection. All they need to do is click on the link. No account sign-up is necessary for full access.
Publish to Share from Chandler Desktop
- Sign up for a Chandler Hub account.
- Configure Chandler Desktop with your new account.
- Select a collection to share.
- Go to Share>>Publish...
- Chandler Hub Sharing Account should be already selected in the Account pulldown
- You can control what attributes you would like to share versus keep private.*
- Click [Publish]
- To share with others, click [Invite] in the Publish dialog or go to Share>>Invite...
- You will be given 2 sharing URLs for View-only and View-and-Edit access to the collection that you can send to others to share!
Note: Currently, Chandler does not distinguish between attributes you share with yourself versus with others. As a result, if you choose to not share an attribute such as Event Status, you will also not be able to see that attribute when accessing your data from the Chandler Hub web application and other Chandler Desktop machines.
Share from Chandler Hub on the Web
- Log in to your account.
- Click on the down arrow next to the collection you would like to share.
- Click [Invite]
- You will be given 2 sharing URLs for View-only and View-and-Edit access to the collection that you can send to others to share!
Give Others Web Access to Shared Collections
Those who receive Chandler Hub sharing URLs can gain full (view-only and view-and-edit) access to shared collections from the Chandler Hub web application. No account sign-up necessary.

Subscribe with Chandler Desktop
If you receive a Chandler Hub sharing URL:
- Click on the URL to preview it in a web browser.
- To subscribe, from Chandler Desktop go to Share>>Subscribe...
- Paste the sharing URL into the URL: field.
- Click [Subscribe]
You can choose whether or not you want the collection to be included in your Dashboard collection. Typically, users choose to exclude other people's shared collections as the Dashboard collection is used as a way to cordon off "personal" notes from other people's notes or group notes.
Note: Currently only collections you publish from Chandler Desktop and collections you create in the Chandler Hub web application are automatically kept in sync between the two. Subscriptions are not. To keep subscriptions on your Desktop and your Hub account in sync, you will need to subscribe to the collection with both the Desktop and add it to your Hub account from the web application.
Add Subscriptions to your Chandler Hub account
If you receive a Chandler Hub sharing URL:
- Click on the URL to preview it.
- Click on Add to my account in the left-hand sidebar.
- Log in.
Note: Currently only collections you publish from Chandler Desktop and collections you create in the Chandler Hub web application are automatically kept in sync between the two. Subscriptions are not. To keep subscriptions on your Desktop and your Hub account in sync, you will need to subscribe to the collection with both the Desktop and add it to your Hub account from the web application.
Subscribe with Apple iCal, Google, Lightning...
If you receive a Chandler Hub sharing link:
- Click on the link to preview it in a browser.
- Subscribe with:
Apple iCal (View-only)
- Under Subscribe with:, Click on the green [Apple iCal, Google]
- Click on the link provided in the dialog.
- Apple iCal should automatically launch and subscribe.
- Note Apple iCal does not support 2-way syncing for subscriptions. You can only view (not edit) shared calendars from Apple iCal.
Subscribe with Google Calendar (coming soon in 1.0 release!)
- Under Subscribe with:, Click on the green [Apple iCal, Google] button.
- Copy the link provided in the dialog.
- In Google Calendar, select Add by URL from the [Add] pulldown.
- Paste the link and click [Add].
- Note Currently Chandler does not support 2-way syncing with Google Calendar subscribers.
CalDAV Calendar Application: Lightning, Evolution (View-and-Edit)
- Under Subscribe, Click on the blue [CalDAV]
- Use the link you are given to subscribe from your CalDAV calendar application.
- From Lightning or Evolution...
Email
Collaborate on Notes and Events over Email
Configure your Outgoing Mail Account
- From Chandler Desktop, go to File>>Accounts
- Select Outgoing Mail from the list of accounts on the left
- Fill out your account information
- Click [Auto-configure] to let Chandler figure out the security settings
- Click [Test...] to make sure the account has been configured properly
Send Notes and Events via Email
- Select an item.
- Click on the person icon at the top of the item details, addressing fields should appear.
- Address the item.
- Select which account you want to send the item from the Send as pulldown.
- Click [Send] in the toolbar.
Edit and Re-Send Email as Updates
- You can always edit email in Chandler, even after it's been sent or received.
- Once you've edited a sent or received message, the [Sent] button will turn into an [Update] button.
- Click [Update] to send the update.
Get Email into Chandler
Note: You must have an IMAP email account to take advantage of this functionality.
- From Chandler Desktop, go to File>>Accounts
- Select Incoming Mail from the list of accounts on the left.
- Fill out your account information.
- Click [Auto-configure] to let Chandler figure out the security settings.
- Click [Test...] to make sure the account has been configured properly.
Chandler will create three mailboxes on the IMAP server:
- Chandler Events
- Chandler Messages
- Chandler Starred
Put messages into these folders from your email client and they will appear in the Dashboard Collection. Messages placed into the Chandler Events folder will also appear on the Calendar.

Web Widgets
Create New Notes from iGoogle
- Sign up for a Chandler Hub account.
- Add the Chandler Quick Entry gadget to your iGoogle.
- Go to your iGoogle page where you should see your newly added Chandler Quick Entry gadget.
- Log into your Chandler Hub account.
- Start sending new notes to Chandler from iGoogle!
Set up the Chandler Quick Entry Widget for Linux Desktop
You can now port the iGoogle Quick Entry widget to Linux Desktops using Screenlets. See instructions.
Using Chandler
Create, schedule, find, search: the three views and the quick entry field in Chandler Desktop
Buttons and quick entry
Press one of the three buttons — All, Starred or Calendar.
Reach the quick entry field in any one of three ways:
- Edit menu
- keyboard shortcut
- single click — aim for Create a new note.
Type something.
Key [Enter] or [Return].
Quick entry field: experimental prepends /n /s /t /e /m /f /l
- /n = note
- /s = starred note
- /t = alarm (a note with a timed reminder)
- /e = event (a note in the calendar)
- /m = message (a note with an address field).
Some prepends can be combined within the quick entry field:
- /s /m for a starred message
- /e /m for an invitation (an event with address fields).
Prepends /t and /e are not a working combination.
Finding/searching within the Chandler Desktop repository:
- /f
- command-F (Mac OS X)
- control-F (Windows, Linux).
To use Lucene wildcards in your search:
- /l
- command-L (Mac OS X)
- control-L (Windows, Linux).
Finding/searching within a note:
- not implemented
- when you key command-F (or control-F) Chandler Desktop will assume a repository-wide search; focus on the note will be lost.
Search: filtering and persistence
The results of your search may be filtered:
- by view (Starred, Calendar)
- by collection
- by both view and collection.
Your search string will persist in the quick entry field until you clear it:
- a click on the All button will view all types of note that match your search.
Tip: to regain a comprehensive view of your Dashboard, following a search, using Mac OS X key combinations:
- click All
- click Dashboard
- key command-F
- key escape.
Prepends in Chandler Hub
Not implemented.
The quick entry field in the Hub is for simple creation of a note.
Change Date/Time Formats and Week Start Date
In Chandler, date/time formats and week start date are derived from the "locale" you are running in. By default, Chandler derives its locale from your computer.
To change the locale just in Chandler, go to File>>Switch Languages....
If you do not see the locale you are looking for, you will need to set it from the command line. More details. You can find a list of available locales and view the settings for each at the ICU Locale Explorer.
